Prepaid packages are great - until you lose track

Selling a 5- or 10-massage package brings in cash up front and keeps clients coming back. It also creates a balance you owe each client. Without a clear record, it is easy to double-count a session or forget one, and both hurt the relationship.

What to record for each package

  • Client name.
  • Package size - the number of massages prepaid.
  • Massages used, updated after each appointment.
  • The purchase date, if your packages expire (check your state’s rules on prepaid services and gift certificates).

A simple routine

  1. Update the client’s used count right after each session, before the next client.
  2. At the end of the day, glance at who is at two or fewer sessions.
  3. Offer the next package at their next visit, while they are still on the table-to-front-desk high.

The tracker above does the math and flags clients who are close to the end of their package, so renewals are a natural conversation instead of an afterthought.

Frequently asked questions

Do massage packages expire?

That depends on your policy and on state law, which in some places limits expiration dates on prepaid services. Put your policy in writing when you sell the package, and track the purchase date if you use one.

Can I track packages of different sizes?

Yes. Each client has their own package size, so 3-, 5- and 10-session packages can sit side by side.

Is it free?

Yes, the tracker is free without an account. SessionsLeft Pro saves your client list and balances between visits.
