Why trainers lose count

Packages get sold at different sizes, sessions get rescheduled, and a punch card or notes app only works if every session is logged the same day. The usual result is either giving away free sessions or having an awkward “you ran out three sessions ago” conversation.

What to track per client

  • Package size (for example 10 or 20 sessions).
  • Sessions used so far - update it right after each session.
  • Sessions remaining, calculated rather than remembered.
  • The date the package was bought, if your packages expire.

Turn “sessions left” into renewals

The best time to sell the next package is when a client has two sessions left, not after the last one. The tracker flags clients at two or fewer sessions as renewing soon, so the renewal conversation happens while they are still motivated and on the schedule.

  1. At 2 sessions left: mention progress and offer the next package.
  2. At 1 session left: confirm whether they are renewing so you can hold their time slots.
  3. At 0: renew, or close the package cleanly.

Frequently asked questions

How do personal trainers track client sessions?

Most use a spreadsheet, a notes app or a punch card. What matters is logging each session the same day and seeing remaining sessions at a glance. This tracker calculates sessions left and flags clients who are about to run out.

Does it handle scheduling or payments?

No. It only tracks package balances, so you can keep using whatever you use for booking and payments.

Is it free?

Yes, the tracker is free without an account. SessionsLeft Pro saves your client list and balances so you don’t re-enter them every visit.
